Job Description


This position is responsible for maintaining all capital and fixed assets.   Must have computer skills in spreadsheet and financial computer software.   Prefer governmental accounting and/or fixed asset experience.  This position will require the ability to receive, process and deliver mail, food, supplies and equipment of the district from the warehouse to schools/sites and any district function.


ESSENTIAL DUTIES AND RESPONSIBILITIES:                Additional duties may be assigned.

  • Oversees, accounts for and monitors fixed asset transactions and the fixed asset/capital tracking processes in conformance to mandated accounting standards and District Procedures. Maintains regular attendance.
  • Complies with all local, state and federal laws pertaining to policies and regulations.
  • Completes all forms and related journal entries for asset additions, adjustments, transfers and disposals.
  • Maintains and reviews account reconciliations related to capital and depreciation accounts.
  • Assists in the preparation of fixed asset forecasts, variance explanations and other analysis for depreciation, amortization, and capital budgeting and spending.
  • Assists sites in maintaining inventories as described in the Uniform System of Financial Records and District Policies.
  • Participates in the adjustment of fixed asset physical inventories according to District Policy and transfer and/or disposal of capital fixed assets.
  • Assists in the development of forms and other documents to facilitate fixed asset control, monitoring and reporting.
  • Shall serve as liaison between the business and purchasing departments in matters related to capital and fixed assets.
  • When directed, consults with site, program, and administrative personnel on procedural requirements for fixed asset control, inventory and accounting.
  • Acquires and maintains up-to date knowledge of all applicable laws and regulations; obtains official interpretations as needed.
  • Assumes responsibility for attending trainings needed to successfully perform designated responsibilities as directed by supervisor
  • Conduct pre-trip inspection daily and record results.
  • Maintain pre-trip and mileage records daily and clean vehicle at all times.
  • Adhere to all safety rules, regulations, district policies and state laws pertaining to the operation of district vehicles.
  • Move, stock, lift, stack and deliver materials, supplies and equipment to schools/sites daily.
  • Deliver district mail to assigned schools/sites.
  • Help Material Distribution Supervisor with truckload deliveries as requested.
  • Assist with warehouse physical inventory.
  • Assist in maintaining cleanliness of warehouse area inside and out.
  • Apply laws and principles of safe work environment, accident prevention and energy conservation principles.
  • Process daily warehouse material and supply requests from schools.
  • Help rotate stock using First in First Out (FIFO) procedures.

  • High school diploma/GED or equivalent
  • At least two (2) years experience in bookkeeping or accounting involving advanced record keeping; OR
  • Any equivalent combination of experience and training that provides the required knowledge, skills and abilities to perform the function of a Warehouse/Fixed Assets Accountant.
  • Knowledge of computer and ledger generated financial reports.
  • Must have a valid current Arizona Driver’s License and a good driving record.



  • Ability to write reports, business correspondence, etc.
  • Ability to effectively present information and respond to questions from administrators, staff and the general public.


  • Ability to work with mathematical concepts such as probability and statistical inference.
  • Ability to apply concepts such as fractions, percentages, rations, and proportions to practical situations.



  • Ability to interface effectively with other departments, school personnel, other maintenance staff, and business contacts from outside of the District.
  • Knowledge of records management.
  • Knowledge of USFR and GASB Fixed Asset Guidelines.
  • Ability to operate a 10-key calculator and calculate complex computer operations.
  • Must demonstrate competence with spreadsheets (Excel).
  • Must have the ability for heavy lifting
  • Must be familiar with and capable of operating warehouse-handling equipment (i.e. hydraulic jack, forklift, hand truck, etc.) efficiently.


Uses hydraulic jack, forklift, hand truck.


  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

While performing the duties of this job, the employee is frequently required to stoop, reach, stand, walk, lift, pull, push, handle, grasp, talk, hear, see and use repetitive motions.  While performing the duties of this job, the employee may occasionally exert up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or negligible amount of force constantly to move objects.  The use of arm and/or leg controls requires exertions of forces greater than that for Sedentary Work.  This job is rated for Medium Work.  Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus.

This postion is a grade 15 on the support staff non-exempt salary schedule.

Placement range= $20.52 to $22.59, depending on experience.
